IT and Data Coordinator – Internship
Island Nature Trust is Prince Edward Island’s oldest private charitable land trust, protecting natural lands and waters for wildlife and people in perpetuity. We are a membership-based organization directed by a volunteer board and supported by a small contingent of dedicated staff. There is currently an internship opportunity to join our team as an IT and Data Coordinator.
Being the key provider for technical, science-based knowledge on land stewardship and wildlife in Prince Edward Island for landowners, governments, and partner environmental groups, it is important to build and create the necessary structures for delivering and storing accurate information on our properties, species, and effective communication within departments.
The successful candidate will be an organized self-started capable of creating an organizational-level file structure for data management, and complete regular website management and network security tasks and related projects. Island Nature Trust has experienced immense growth over the past few years, consistently expanding our property ownership, employees, and goals. Due to our continued growth and expansion within our organization, we are looking for an IT and Data Coordinator to help us achieve our mission.
About the Position
We are looking for a tech savvy individual tasked with creating a streamlined and logical folder/file structure for the use of various departments. Folders should be program specific (land stewardship, species-at-risk, land acquisition) in a way that is easily accessible for staff. A clearly outlined document should be attached with the file structure that informs new and existing staff of appropriate data placement.
Under the direction of the communications manager, the successful candidate will also have knowledge on how to maintain and monitor our current website, along with provide recommendations and implement programs to enhance our network security and overall website use.
The successful candidate will have strong organization skills and be able to analyze and categorize information. Technical proficiency in with WordPress, DruPal, Office 365 applications as well as knowledge and understanding of best practices for network security is required. You will have a willingness to learn and be comfortable taking direction – balanced with the capacity to generate creative solutions and contribute towards developing strategy.
Primary Responsibilities & Duties:
- Creating a streamlined and logical folder/file organization structure-based on instructions/needs from management. This includes organizing program-specific file storage and sharing folders for photos and data that Island Nature Trust will use across various departments
- Updating existing file storage (from current and previous years) into a more concise and organized structure. This includes removing duplicates, re-saving data into appropriate locations within the created file organization structure
- Completing a proper inventory of all hardware and software and ensuring that all computers and staff accounts have proper security protocols in place
- Ensuring all files are properly protected and backed-up to avoid data loss and accidents
- Website management and maintenance (working with external providers to determine server storage needs, assisting with website migration from one platform to another, and managing system upgrades and troubleshooting IT issues for staff)
- Ensuring that the file organization structure is clearly laid out in a document that informs new and existing staff of placement for future use

- Collaborating with internal departments to establish objectives, complete tasks, and identify and solve problems
- You recognize the need for constant improvement – always looking to do things better (both personally, as part of a team and for the organization) and can showcase how you have made enhancements in previous situations

Requirements:
Education
- Essential: Have recently completed post-secondary studies in information technology or similar program, by way of a degree or diploma program from a recognized institution
Experience
- Essential: Experience or course work in basic IT security best practices
- Essential: Experience with data management and website maintenance
- Desirable: Experience helping peers troubleshoot IT related problems/issues
- Desirable: Experience analyzing content, reporting findings, and providing recommendations
Skills
- Essential: Strong organization and problem-solving skills, detail oriented
- Essential: Interpersonal skills between departments
- Essential: Can accurately and effectively deliver information
- Essential: Excellent written and verbal communication skills and enjoy collaborating with others
Knowledge

Terms of Employment
- This position is offered as a full-time contract (37.5 hours/week) to March 31, 2023
- Must be between 15 and 30 years of age at the start of the internship
- Must be legally entitled to work in Canada
- Must be a Canadian citizen, permanent resident or person who has been granted refugee status
- Not in receipt of Employment Insurance during their internship, and
- Self-assess as unemployed or underemployed, meaning they are employed below their level of education and/or hold part-time employment
