Membership Coordinator
Position Overview
Ontario Nature is looking for a detail-oriented individual with excellent communication and organizational skills for the position of Membership Coordinator.
Reporting to the Annual Fund Manager, the Membership Coordinator facilitates timely and accurate donation processing. This person is the first point of contact for all new and existing members. They work with the development team to help handle member questions, coordinate communications and to ultimately ensure that the member satisfaction is high. The Membership Coordinator also works closely with the Director of Finance and Administration to ensure that gifts are processed in a timely manner and monthly financial reports are accurate.
This job is perfect for you if you have effective professional communication skills as well as gift processing experience using Raiser’s Edge. You can successfully prioritize and manage a varied workload, and you are able to build and maintain relationships and understand the interests and needs of Ontario Nature’s donors

Principal Responsibilities
Member and Donation Administration
- Process mailed, phone and online gifts and tax receipts in a timely and correct manner in Raiser’s Edge;
- Help maintain database integrity;
- Support donor appeals throughout the year;
- Prepare and reconcile month-end reports for all gifts processed in Raiser’s Edge in a timely manner;
- Prepare and support database queries as needed or requested;
- Identify issues and opportunities for improvement in gift and donor processing; and
- Coordinate gifts of membership.
Member Stewardship Coordination
- Fulfill receipts, e-news sign up, thank you letters/calls, new member packages in a timely manner on a weekly basis;
- Nurture member relationships;
- Maintain member files with accuracy;
- Manage member complaints and concerns with professionalism, engaging appropriate staff as needed to ensure satisfactory resolution including recording communications and outcomes in Raiser’s Edge;
- Work with the fund development team to grow the monthly donor program, providing excellent stewardship and supporting special events and acquisition/telemarketing campaigns; and
- Coordinate thanking monthly donors who upgrade their gifts and sending an annual tax receipt.
Telemarketing
- Work with Annual Fund Manager to support telemarketing campaigns;
- Prepare call sheets, track and report on telemarketing activities; and
- Follow-up on pledges by phone and mail.
Special Projects Coordination
- Assist in development department special projects and events as needed; and
- Provide support and assistance with fundraising and donor engagement/ communication pieces.
Qualifications
- Post-secondary education in a related field;
- At least 1-2 years gift processing experience in Raiser’s Edge and proficiency in Microsoft Office software;
- Effective professional communication skills in person, by phone and by email, with ability to build and maintain relationships;
- Superior organization and time management skills with close attention to detail;
- Self-starter who takes initiative and can successfully prioritize and managed a varied workload;
- Experience in a member/donor-based environment and an understanding of the fundamentals of a non-profit working environment are assets; and
- Interest in Ontario Nature’s mission and a love of nature and the outdoors.

Desirable Assets

Anticipated Start Date: September 12, 2022
Type of Position: Full time, permanent
Compensation: $44,000 – $54,000 per year
Location: This position is based at Ontario Nature’s Head Office at 720 Bathurst St, Toronto, ON. This position is primarily office-based with some flexibility for remote working in accordance with Ontario Nature’s operational Remote Work Policy.
Working Conditions: This position may require rare instances of evening or weekend work for donor events, which will be compensated through lieu time.
