Since our founding in 2005, we have grown to become London’s largest environmental non-profit organization. Powered by passionate staff and volunteers, ReForest London plants, cares for, and gives away thousands of trees each year. Along with the City of London, we are a founding partner of London’s Million Tree Challenge. We are also actively developing London’s first environment and sustainability centre, the Westminster Ponds Centre. Position Summary
The position is administrative in nature and supports several core functions of the organization. The main areas of responsibility are:
· Management of accounting and reporting processes (this is the prime focus area)
· HR administrative support
· Office and Facilities Management
· Supporting the ED and the Board of Directors
Keeping our accounting and management control systems accurate, robust and timely is the top goal. As we grow and undertake new ventures, your ability to design and manage processes and systems will be key. You will execute some accounting transaction entries and some accounting support (e.g. month end reconciliations, HST reports and payroll) is provided by an external service that you will manage. The role is responsible for regular financial reporting to the Board and to program managers. The position is also responsible for leading the team through annual budget creation. Annually, you are the main liaison with our external financial auditor, providing accounting evidence and explanations, as well as implementing recommendations.
The role also keeps our office and our site running smoothly by ensuring proper procedures and supplies are in place, and by managing external service providers such as IT, maintenance, alarm, and security services.
You will interact regularly with every member of our small team. You will work closely with, and report to, the Executive Director. Your good humour, analytical skills, team focus, and passion for our environmental mission will see you through the highs and lows of our non-profit world. You will deal with outside service contractors, Board Directors and other volunteers, making your professionalism and friendly attitude key to your success.

Key Responsibilities
1 – Accounting
· Enter, or oversee entry of, accounts payable and accounts receivable;
· Ensure all payables and receivables are properly coded with appropriate GL and Project Class tags
· Prepare cash and cheques for deposit;
· Code and enter all monthly revenue received electronically via Canada Helps, Square, PayPal, etc.;
· Manage external bookkeeping service which executes monthly reconciliations and HST quarterly filings;
· Manage external payroll service provider;
· Capitalize assets and calculate annual depreciations;
· Execute journal entries required to defer and recognize revenue
2 – Financial Reporting and Budget Development
· Provide quarterly financial reports to Program Managers who deliver ReForest London programs and activities;
· Provide quarterly organizational financial reports to our Finance Committee;
· Steward the development of annual organizational budgets by managing the process and supporting team involvement;
· Take lead role in supplying information and evidence during our annual financial audit;
3 – Business Support
· Hold accountability for managing and improving accounting processes required to support our growing organization;
· Support program-delivery managers in their financial management and understanding;
· Provide administrative assistance in managing our team: preparing contracts, ensuring proper salary payments;
· Manage additions and deletions from our healthcare benefits plan;
· Manage selected building services such as our security monitoring, site snow clearing, fire inspections,
· Manage our computer inventory and our file backup system;
· Provide direct supports to Executive Director as required;
· Attend monthly Finance Committee and Board of Directors meetings;
· Formalize internal processes and procedures into written procedures and instructions;
Competencies:
The ideal candidate will:
· Make this role a game-changer for the Executive Director by being a critical thinker, an excellent judge of issues and a problem solver
· Have excellent financial and analytical skills which allow you to design and manage our internal processes for financial tracking, analysis and reporting
· Demonstrated strong systems approach to problem solving.
· Love keeping processes and documentation highly organized and functioning easily for the whole team
· Be happy to undertake, and not stressed out by, any new tasks and challenges that inevitably arise
· Have demonstrated diligence and attention to detail
· Enjoy tree puns and office potlucks
Qualifications
· Post-secondary education, preferably in field of business, administration, accounting, etc.
· At least two years of relevant work experience (e.g. accounts payable/receivable, business management, financial reporting, bookkeeping, etc.);
· Experience with some form of accounting software (QuickBooks, Sage, etc.);
· Advanced proficiency with Excel
· Experience with non-profit accounting is a bonus;
Anticipated Start Date: early March 2023
Type of Position: Full time, permanent
Compensation: $42,000 – $46,000 per year (according to experience)
