EXECUTIVE COORDINATOR
PERMANENT, FULL-TIME
ANNUAL SALARY $58,500 – $66,300
POSITION SUMMARY
The Executive Coordinator will work primarily with the Executive Director and Associate Executive Director (the Executive Team) to advance Sierra Club BC’s strategic plan. Your main responsibility will be to support the Executive Team’s priorities and help ensure their success.
Reporting directly to the Executive Team, the Executive Coordinator provides executive support and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Team. The Executive Coordinator also serves as a liaison to the board of directors and various departments; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Coordinator must enjoy working within a dynamic environment that is mission and results driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written, verbal (and in particular diplomatic) communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Coordinator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
ORGANIZATION OVERVIEW
Sierra Club of British Columbia Foundation (Sierra Club BC) is a non-profit environmental organization whose core mission is to advance climate justice and ecosystem protection by up-lifting grassroots-led change. RESPONSIBILITIES
Executive Support
- Administrative support for the Executive Director including: managing calendar appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging detailed travel plans, itineraries, and agendas; coordinating staff gatherings; and compiling documents for meetings.
- Communicate directly, and on behalf of the Executive Director, with Board members, donors, Sierra Club BC staff, and others, on matters related to the Executive Team’s priorities.
- Plan, coordinate and ensure the Executive Team’s schedules are followed and respected.
- Provide a bridge for smooth communication between the Executive Team and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Work closely and effectively with the Executive Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a keen and proactive sense for the information the Executive Team needs to perform effectively.
- Draft written communication, including acknowledgement letters, personal correspondence, and other tasks that facilitate the Executive Team’s ability to effectively lead the organization.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures. Manage the Annual General Meeting each fall with support from operations and the development and communications teams.
Operations and Finance Support
- Assist with duties of managing the Sierra Club BC office, currently based in Victoria, BC. This includes maintaining office supplies, coordinating cheque signing, managing phone calls, and information requests.
- Assist with staff wellness and engagement. Work with the staff social committee and operations team to support staff engagement and wellness, including celebrating life milestones and connecting staff in a time of remote working through remote and in-person events.
- Work with the finance and operations team to ensure staff are aware of, and following important processes and policies (including vacation tracking, expense submissions, project management, etc.).
- Identify opportunities for improvements to SCBC’s operations, while applying an intercultural and transformational lens.
- Other organizational, operational, and administrative duties as needed.
WHAT YOU WILL NEED TO SUCCEED
- Strong interpersonal skills and comfort with communicating across all teams at Sierra Club BC.
- Scrupulous attention to detail and exceptional organizational skills are a must.
- The ability to balance multiple priorities and deadlines in a fast-paced setting and willingness to be flexible and courteous to all staff, volunteers, donors, and other community members.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability, who actively seeks opportunities and proposes solutions.
- Ability to work independently while working remotely from home. This is a hybrid role, allowing for both in-office and remote work.
- Proven ability to handle confidential information with discretion.
- A sense of strategy and understanding of and commitment to Sierra Club BC’s transformational work.
- Technically savvy and skilled with Microsoft 365 (Outlook, Word, Excel, Teams, etc.) and videoconferencing platforms. Willingness to learn about other technology for process improvements and make recommendations.
- Previous work in a not for profit or environmentally focused organization would be a strength.
- Proven experience as an administrative or executive assistant to senior, demanding leadership, ideally five years or more or equivalent experience.
- A gift for creating a warm and welcoming environment for all staff with a focus on Justice, Equity, Diversity, and Inclusion (JEDI) lens.
COMPENSATION
- This role is a permanent, full-time (37.5 hours per week) position with a salary range of $58,500 – $66,300.
- Annual increases within salary range; salary range subject to annual cost of living adjustments.
- Initial three weeks of paid vacation, with scheduled increases to five weeks; additional week of paid time off while Victoria office is closed over holiday period.
