Surfrider Foundation Canada – Pacific Rim Chapter Coordinator
The Surfrider Foundation is an international nonprofit dedicated to the protection and enjoyment of the world’s ocean, waves, and beaches for all people through a powerful activist network.
The Surfrider Foundation Canada Pacific Rim Chapter is looking for a highly energetic full-time (40 hours/week) Chapter Coordinator who will assist the continuation and sustainability of Surfrider Pacific Rim’s operations and initiatives, which are currently focused on ending plastic pollution and materializing a localized circular economy. Surfrider Foundation is a world-renowned ocean and coastal conservation organization, which cultivates environmental leaders among staff and volunteers, providing training, professional and travel opportunities, among many other benefits.
Selected responsibilities are primarily to ensure the functionality of operations within the chapter run smoothly and effectively, which is achieved through administrative duties. The Chapter Coordinator will also support the volunteer network as well as design and execute programs & campaigns that are seeking to raise awareness and win coastal victories, as well as organize events alongside the Youth/Beach Clean Coordinator and the volunteer network. Our ideal candidate is both a leader and team player, with a passion for ocean conservation and a commitment to social and environmental justice.
CHAPTER COORDINATOR RESPONSIBILITIES
Key Responsibilities:
Core Crew, Community & Administration
- Understands funding requirements for CC position and actively seeks grants and fundraising to support role.
- Sustains and executes the Chapter’s strategic plan via collaboration with chapter EC to identify and strengthen partnerships with key businesses and organizations with similar values.
- Biweekly meeting with Chairperson for strategic, operational, media and financial planning.
- General office administration, including permits, contracts, event insurance applications. Provides admin support to the EC (i.e., calendaring, filing, minutes, chapter inquiries, chapter planner etc.)
- Supports office upkeep, supplies, recycling alongside Youth Coordinator.
- Webteam support for web updates; events calendar, media, volunteers, crew, blog, newsletter.
- Organizes annual Surfrider Sessions Fundraiser and maintains sponsorship relations with Wick team.
- Creates monthly newsletter, core crew meeting pack, provides Chamber of Commerce update.
- Submits events to both Districts (DoT & DoU), Tourism Offices, Tofino Time, social media channels.
- Provide logistical support for chapter meetings, events, cleanups, and other outreach events as needed.
- Writes monthly Core Crew reports and the Annual AGM report with the Youth Coordinator.
- Administers and reviews the internal and external communications plan.
Finance
- Follows the banking protocol for the chapter.
- Required to have Quickbooks experience for managing finances.
- Manages physical and online banking administration. This includes, requests for invoicing, payments, and expenses, checking SFPR PO Box and arranging deposits.
- Manages all chapter income and outgoings including: Volunteer expenses, petty cash, invoices, donations, tax receipts, banking deposits.
- Completes the monthly banking reconcile in Quickbooks. Works with bookkeeper to improve QB and accounting system.
- Submits banking reconciles to HQ on a quarterly basis
- Prepares quarterly financial reports for EC with a bookkeeper.
- Monitors program budgets alongside bookkeeper and Youth Coordinator and supports committee leads with budget management.
- Seeks and writes grants to support campaigns, programs, operations, and staff positions. Writes project reports proficiently and on time.
- Monitors program budgets and supports committee leads with budget management.
- Sits on the fundraising committee and actively seeks out sponsorships, donations, grant opportunities.
Volunteer Recruitment, Development, Retainment, Engagement
- Main support to Volunteer Coordinator (VC).
- Includes Justice, Diversity, Equity, and Inclusion strategic planning into chapter operations.
- Volunteer portal administrator on Squarespace and lead support for software.
- Onboards new volunteers and coordinates check ins
- Supports recruitment of new volunteers, talent spotting and secures professional development training for new volunteers.
- Attends, supports and assists organizing core crew meetings (Last Tuesday of the month, 6:30-8:00 PM),
- Ensures volunteers (Including VC) have ongoing support and access to information needed to run programs, events and campaigns effectively.
- Annual volunteer evaluation; survey; updated roles & responsibilities; conduct January check-in with Youth Coordinator and Volunteer Coordinator.
- Organizes special volunteer training events and the annual volunteer appreciation party with VC and Youth Coordinator in December.
Program & Campaigns
- Supports the growth, sustainability, and goals of Programs and Campaigns, and the victory they are seeking to win.
- Ocean Friendly Business Campaign lead, which includes working to register businesses as Ocean Friendly through 2021/2022 and supporting the volunteer committee with their businesses.
- Completes the Ocean Friendly Corridor timeline and deliverables. Conducting research, creating toolkits and external documents for the final year of this project.
- Leads campaigns, including Take Back the Tap, to eliminate all single use plastics in the Pacific Rim. This includes campaign design, executing tactics, communicating with partners, the public and target(s), marketing, etc.
- RAP Program, increasing awareness of this program and supporting both District’s Single-Use Plastic Regulation bylaws. Supports advocacy through education, research, and tactics that are particular to the program, including waste management initiatives.
- Supporting the Hold On To Your Butt Lead, including leading research, tactics, maintenance of canisters and improving business communications.
- Identifies opportunities for new campaigns and projects.
Media & Communications
- Supporting external communications and media committee to execute Quarterly Media Strategy
- Manages media team, including Instagram lead, and takes the lead on posting to FB.
- Develop an expanding media network with target magazines, larger ENGOs and news outlets.
- Supporting radio shows with Tuff City Radio and regional radio stations.
- Regularly reviews Quarterly Media Strategy and establishes steps and tactics to scale our reach to greater audiences, which includes managing marketing and media committee.
- Writes articles and blog posts for local and regional news outlets, as well as for other print and online media.
- Speaks on podcasts, at events, workshops, and provides presentations to partnering entities, educational institutions, at conferences, etc.
QUALIFICATIONS
- Advocacy experience
- Excellent knowledge and understanding of ocean and environmental justice issues, particularly those local to the Pacific Rim Chapter and BC at large
- Ability to work collaboratively with diverse partners to increase the outreach of the Surfrider Foundation
- Ability to prioritize and demonstrate flexibility when handling multiple major projects
- Self-motivated
- Strong public speaker
- Strong interpersonal skills
- Strong organizational and communication skills, including excellent writing skills
- Ability to work under pressure and meet deadlines
- Proficient with Quickbooks online
- Nonprofit coordination experience, 2 years minimum
- Administrative experience (Google Suite, Excel, Squarespace, Mailchimp experience necessary)
- Event coordination and management experience
- Social media experience a plus
- B.A. or B.S. desired, but not required
- Volunteer coordination experience a plus
- Flexible schedule; available for some weeknight meetings and some weekend events
LOCATION:
This is a full-time position based in Tofino, British Columbia. The candidate will work in the Surfrider Pacific Rim office located at the Tofino Botanical Gardens.
This is not a remote position.
REPORTS TO: Pacific Rim Chapter Manager
SALARY & BENEFITS:
- The position starts at $51,150 CAD ($24.59/Hour CAD) dependent upon experience and qualifications.
