Overview:
NCC continues to expand its portfolio of conservation lands in Ontario, which currently comprises nearly 300 properties. The ownership and management of these lands, along with the acquisition of new conservation lands, give rise to numerous responsibilities. This position provides regular, ongoing processing, content standardization, and handling of internal and external operations documents, interprets and manages critical property data as well as coordinates key deadlines and approvals that are critical to conservation project success. As NCC accelerates the pace of conservation, this essential position ensures Ontario can continue to manage its existing lands and successfully pursue new conservation projects using best practices with efficiency, accuracy, and creativity.
Job Responsibilities:
Land Administration (60%):
- Coordinate, conduct content review, and track external stewardship agreements and contracts
- Coordinate annual review and filing of tax assessment notices
- Coordinate applications for property tax incentive programs and track property tax classifications for about 1000 parcels of land
- Coordinate scheduling of internal documents including PMPs, APRs and NACPs
- Coordinate correspondence and tracking of hunting on NCC properties
- Support statutory reporting requirements on an as needed basis
- Oversee standardized data entry and filing in the Land Information System and DAISY
- Design and implement ad-hoc processes to create summary data for management evaluation
Land Securement (20%)
- Coordinate tracking of key internal and external deadlines for securement projects including waivers, forms, budgets and approvals
- Support completion of internal securement documents, requirements and deliverables
- Coordinate data entry and filing of securement documents in the Land Information System and DAISY
Operations Team Support (10%)
- Coordinate responses to external lands related inquiries
- Support the Ontario Operations Team with knowledge of policies and procedures as it relates to land securement, disposition, and management
- Maintain subscriptions and administer systems used by Lands staff
Other Duties (10%)
- Provides primary technical support to Ontario staff, referring to IT or other departments as required
- Provide expertise to national IT regarding new and updated program launches, associated pre-launch testing and staff training
- Create administrative efficiencies through use of current systems, including but not limited to database emulation in Excel, mail merge, standardization and saving of templated email communications, standardized checklists in agreements, DAISY links, FAQ, etc.
Skills and Aptitudes:
- College Diploma or University degree in a related field (conservation, planning, land administration, real estate) or equivalent
- 2-4 years’ experience
- Knowledge of Microsoft Office, Pivot tables, Mail Merge, and Document formatting
- Experience in project management and database management as well as a data driven mindset are an asset
