Office Assistant (Septic)
The Rideau Valley Conservation Authority is the lead intermunicipal agency working to address river-related environmental issues and concerns within the Rideau Valley watershed. Thanks to our many partners, the scope of our environmental protection work includes planning, source water protection, tackling flooding and erosion problems and researching water movement and use in the valley. We help people maintain healthy shorelines, provide advice on development-related issues and report to municipalities, agencies and the public about watershed conditions and trends. We also provide public access to natural waterfront areas, deliver community-based stewardship programs, reduce water pollution and protect fish and wildlife habitat.
Office Assistant (Septic)
Full-Time 2 Year contract (September 2022 – September 2024)
$41,675 to $52,714 annual salary (plus benefits)
This position will work out of the Mississippi Valley Conservation Authority’s main office located near Carleton Place. Candidates should ensure they have reliable transportation prior to applying.
Under direct supervision, you will be responsible for compiling, recording and distributing applications and permits for processing. You will maintain digital and hard-copy records and you will regularly update the database and generate routine reports and standard maps. You will provide exceptional customer service to our applicants and other external clients, and from time-to-time you will help with special research projects and public education workshops.
As the ideal candidate you have a diploma or degree in office administration or environmental studies. You have at least one year administrative or clerical experience. You have excellent computer and keyboarding skills and the ability to undertake detailed work accurately using Microsoft Word, Excel and Access. You have excellent communication skills in English both verbally and in writing. Being able to communicate verbally in French is considered an asset. To round out your skill set, you have exceptional customer service skills, demonstrated organizational skills and a commitment to meeting regular deadlines. You may occasionally drive an RVCA vehicle, therefore you must hold a valid Driver’s License and have a satisfactory driving record.

JOB SUMMARY
Under direct supervision, provide administrative support related to sewage system building permit processes and reinspection processes t which include inspecting sewage systems, issuing permits, maintaining records and enforcing Part 8 of the Ontario Building Code
RESPONSIBILITIES
Assist in maintaining and tracking protocol intensive processes for the effective records management of various septic system maintenance & re-inspection programs.
Respond to general inquiries, answering service delivery questions, mailing fact sheets or other information and directing clients to the appropriate Conservation Authority or other Agencies as it relates to legislative guidelines and requirements for the safe construction and operation of sewage systems.
Communicate and provide information to the general public and construction and design communities including information pertaining to permit processes, grants and subsidies available to homeowners, and septic system maintenance.
Enter and audit data for current year applications and inquiries relating to requests for septic system files, the installation or replacement of septic systems and renovations to existing homes.
Assist with writing, word processing, copying, mailing and filing correspondence and reports
Provide support to inspectors as required, including obtaining information for septic system inspections and re-inspections in accordance with Part 8 of the Ontario Building Code.
Assist with the preparation, collating and distribution of departmental documents, policies and procedures.
Perform duties in accordance with the Conservation Authority’s safety policies and procedures and in accordance with the Occupational Health and Safety Act and its regulations.
Other duties as assigned.
EFFORT
· 80% of work is data entry, word processing and report and presentation compilation
· 20% of work is public relations & communications with the public, government agencies and septic and engineering communities

WORKING CONDITIONS
100% of work is performed indoors in a normal office environment
Work is performed in an open office setting with individual workstations

REQUIRED KNOWLEDGE AND SKILLS
· Degree or Diploma in a related field (office administration or environmental studies)
· Must be flexible and easily adaptable to rapidly changing situations/priorities
· Strong computer skills and knowledge of Microsoft programs, especially Word and Excel
· Strong attention to detail and organization
· Experience with records management and handling of sensitive information
· Ability to multitask and prioritize multiple commitments
· Valid driver’s license and satisfactory driving record
· Strong data entry skills and ability to process large volume of data
· Strong verbal and written communication skills in English
· Excellent interpersonal skills
· Strong commitment to championing protection of the environment
