The Role
The Foundation’s Grants and Operations Manager (13 month contract) reports to the Director of Operations and works closely with this individual and the Operations Manager to ensure that the Administrative and Grant-Management needs of the Foundation are being met. The Grants and Operations Manager will oversee a team of two to ensure:
- Effective administrative and office support is available to efficiently facilitate work across the Foundation, including that of the Board of Directors, as appropriate.
- The Foundation’s discretionary grant portfolios are responsibly managed, with updates provided to Directors and Grantees at regular junctures.
- Support for the Foundation’s commitment to Diversity, Equity and Inclusion (DEI), and training.
The actual duties and responsibilities, position, title and reporting relationship of the Grants and Operations Manager may be changed by the Foundation from time to time to meet its evolving business needs.
Key Responsibilities
Operations
- Oversee the management and application of shared administrative systems and processes within the Foundation including Outlook, Diligent, Teams, SharePoint, DocuSign and the operations manual.
- Ensure the Foundation office is appropriately supplied.
- Oversee the payment processes for donations and expenses.
- Act as the Foundation contact for Wittington IT; coordinate relevant resources for team members, troubleshoot technology concerns, organize mandatory trainings, provide feedback, and ensure clear communication between parties.
- Manage special operations projects, for example database transitions.
- Support the Foundation’s activities and training related to diversity, equity and inclusion.
Grants Management
- Manage the Executive Grant portfolio ensuring Board, grantees and team members are updated as required.
- Manage the Education Grant portfolio.
- Oversee the Director Grant portfolio.
- Manage workflows for portfolios to ensure proper processes are in place and followed, including grantee communications, Director engagement and tracking in SmartSimple, the Foundation’s database.
- Conduct due diligence on funding requests and prepare approval request materials for necessary Board review.
- Provide necessary reports and analysis on portfolio activity and forecast as related to impact and budget.
- Work in collaboration with the Operations Manager to ensure payments are processed in accordance with established processes.
